Tools Replaced
Phone + spreadsheets + manual invoicing → 1 platform
Before
- Every rental started with a phone call. Staff manually checked a shared spreadsheet to see which containers were available, then penciled in deliveries on a paper calendar.
- Billing was handled by manually creating Stripe invoices each week for every active rental — a process that took hours and regularly resulted in missed charges or double-billing.
- No visibility into fleet status. Knowing how many containers were on-site vs. in transit vs. being serviced required calling the yard and the drivers.
- Customer requests for pickup sat in an email inbox. Average time from request to pickup was 4+ days because nothing was triaged or scheduled automatically.
After
- Customers book online through a 4-step flow: enter address, pick a delivery date, add payment, confirm. Service area validation and availability checks happen automatically — no phone call needed.
- Stripe billing runs automatically. Weekly rental charges fire on schedule, one-time fees are applied at rental close, and failed payments trigger a retry sequence (1, 3, and 7 days) before flagging for manual follow-up.
- Every container is tracked through a 7-status lifecycle — Available, Reserved, In Transit, On Site, Pickup In Transit, Servicing, Out of Service — with real-time counts on the admin dashboard.
- Scheduling dashboard with calendar view, service area map overlay, and daily capacity limits. Dispatch went from guesswork to a single screen showing every delivery and pickup for the week.

“We went from spending half our mornings on the phone scheduling deliveries to having customers book themselves at 11pm on a Sunday. Revenue went up because we stopped losing rentals to slow follow-up.”
